What this covers

This policy describes how GKey Connects LLC (“we”) collects, uses, stores, and deletes information when you use Key Books, including bank data imported through Plaid.

Information we collect

• Account information you provide: name, email address, and password (stored as a hash).
• Bookkeeping data you enter or import: accounts, transactions, contacts, categories, invoices (including line items and the seller/customer text captured when an invoice is issued), and CSV/Wave files you upload.
• Bank connection data from Plaid, after you complete Plaid Link: institution name, account name and mask, account type, and posted transactions (date, amount, description, merchant). We never receive or store your bank login credentials.
• Technical logs needed to operate the service: authentication events and error traces. Logs do not include Plaid access tokens, passwords, or encryption keys.

How we use it

We use this information only to provide Key Books: to sign you in, keep your books, sync bank transactions you connected, send transactional email (verify, reset password), and secure the service. We do not sell your data. We do not use Plaid End User Data for marketing or advertising.

Plaid

Bank connections are provided by Plaid Inc. When you connect an account, Plaid’s own terms and privacy policy apply to the connection flow. You can disconnect a bank in Key Books, which removes our access token and, if you choose, the imported transactions. You may also manage connections at my.plaid.com.

Sharing

We share data only with processors needed to run the service (for example our hosting and database provider, email delivery, and Plaid) or if required by law. Those processors are not permitted to sell your data.

Retention and your requests

We keep bookkeeping data while your account is active. You may request access, correction, or deletion of your data by emailing security@gkeyconnects.com. We aim to complete requests within 30 days. Disconnecting Plaid with wipe deletes the related bank data from Key Books.

Security

Production traffic uses TLS 1.2 or better. Plaid access tokens are encrypted at rest with AES-256-GCM. Production databases use encryption at rest. Access to production systems is limited to authorized personnel.
